Privacy Notice

Zombotix LLC (“Zombotix,” “we,” or “us”) provides AI voice automation software to business customers. This notice describes how we handle personal information when you visit our website, contact us, use our business services, or interact with a service configured by one of our customers. For some voice interactions, our customer determines the purpose and means of the communication and Zombotix processes information under a service agreement. Additional details may be provided by the customer and applicable contracts.
1. Who we are
Operator: Zombotix LLC. Privacy / business contact: contact@zombotix.com. For formal notices, email that address and we will provide a mailing address on request.
2. Scope
This notice covers website visitors, prospects, customers, authorized users, and — where applicable — callers whose data is processed through client-configured services. Customer-controlled calling data is treated differently from website marketing data; product processing is governed by the service agreement and any data processing terms.
3. Data categories
- Marketing leads: name, work email, company, optional website, country, use case, dialer, volume notes, message.
- Account administrators and support contacts (under contract).
- Billing records (under contract; no public checkout on this site).
- Product telemetry and operational logs as configured for a deployment.
- Approved voice audio, transcripts, outcomes and metadata when a customer configures those features.
- Support requests and correspondence.
- Technical logs (IP, user agent, requested URL, timestamps).
4. Sources
Information comes from you, from customers’ integrated calling systems (when they use our services), from service tools we operate, and from voluntary submissions.
5. Purposes / lawful bases
We use information to respond to inquiries, provide licensed services, support customers, secure systems, bill under contract, prevent fraud and misuse, and comply with law. Applicable lawful bases vary by jurisdiction and relationship.
6. Roles
For website demo requests, Zombotix typically acts as a controller / business for that inquiry data. For connected call processing under a customer deployment, Zombotix often acts as a processor / service provider acting on customer instructions — subject to the signed agreement. We do not claim “we own no data” as a blanket statement.
7. Recordings and AI processing
Where enabled, connected calls may involve speech processing, transcripts, recordings and routing. ASR/TTS/LLM or similar tools may receive audio or derived text under the deployment architecture agreed with the customer. Cross-border routes and customer-configured notices / consents are confirmed per engagement.
8. Sharing / subprocessors
We share information with service providers who help us operate (hosting, email/CRM webhook delivery if configured, support tools) under appropriate agreements. A current subprocessor list is provided through contracting / DPA processes rather than invented on this page. We do not sell personal information for advertising.
9. International transfers
Data locations and transfer safeguards depend on deployment topology. Details are confirmed in writing for your engagement.
10. Retention
Website prospect data. Demo and contact submissions are retained for up to 24 months after the last meaningful sales or support interaction, then deleted or anonymized, unless a longer period is required for legal claims, security investigation, or an active contracting process. You may request deletion earlier at contact@zombotix.com.
Customer deployment data. Retention for logs, transcripts, recordings, backups and billing records follows contractual defaults, customer choices and legal holds. Exact product schedules are agreed per engagement.
11. Security
We apply operational and technical controls appropriate to the service. No security measure is perfect. See also /security.
12. Individual rights
Depending on your jurisdiction, you may have rights to access, correct, delete or restrict certain personal information, or to object to certain processing. Email contact@zombotix.com with the subject “Privacy request,” your relationship to Zombotix (website visitor, prospect, customer user), and enough detail to locate the records. We acknowledge requests and route them to the internal owner responsible for website or customer data. For records controlled by a Zombotix customer (for example, call recordings in their campaign), we direct you to that customer and assist them when the contract requires it.
13. Children / sensitive information
The Site and services are directed to businesses, not children. Do not submit consumer lead lists, health information, payment card numbers or other sensitive data through the demo form.
14. Cookies / analytics
We do not currently run third-party advertising pixels on the public Site. If that changes, we will update this notice and add any required preference controls.
15. Policy changes
We may update this notice. The “Updated” date above reflects the current version.
